Frequently asked questions

What rates does the agency charge for its services?

Depends on the language pair and many other factors. Due to the fact that each project is specific in its own way, the price is determined separately for each particular case. Apart from that, the total calculated price may be subject to surcharges (rush premium, complexity surcharge, for formatting issues) and/or discounts (loyalty discounts, promotional discounts, etc.).

How do I place an order?

The simplest and most convenient way to place an order is to use the order form provided at our website. Just fill in the required information, attach the file(s) containing the source text and click the “Send” button. We will promptly assess the scope and complexity of the required work as well as the feasibility thereof within the terms you have specified, pick a translator proficient in the required languages and experienced in working with texts of respective subject matter. As soon as this is done, you will receive a proposal with the quotation and other relevant information specified therein. In case the proposed conditions suit you, the only thing left to do will be to confirm the order, and we will be on it at once.

Alternatively, you can e-mail the required documents directly to This email address is being protected from spambots. You need JavaScript enabled to view it. .

I cannot select the language I need in the order form. What should I do?

Being a relatively young enterprise, we expand our language base gradually. Due to that, the language you need may be absent from the list of languages we work with. Should this be the case, you may have your order e-mailed to us directly to This email address is being protected from spambots. You need JavaScript enabled to view it. ; we will exert every effort to contract the translator capable of handling your translation order as soon as possible.

Where can I find the terms and conditions of our cooperation?

The terms and conditions are published at our website. You can see those by choosing the respective option from the main menu or following the link provided here and in the order form. These are provided as a contract that becomes binding for the customer and for the translation agency as soon as the customer confirms the order as based on the respective proposal.

How does cooperation with the agency on an ongoing basis differ from the standard conditions?

Having made a regular cooperation agreement with us, you may determine the mode of payment for your own convenience, benefit from loyalty discounts, make your own suggestions about the forms and circumstances of further cooperation.

How is the quotation calculated?

The principal parameter for calculating the quotation is the scope of work, i.e. the character count in the document, including spaces. It is measured in A4 sheets (a conventional unit that equals 1800 characters). The quotation would thus be the product of character count by the cost of translating one A4 sheet in the respective language combination.

The result may be subject to surcharges (rush premium, complexity surcharge, for formatting issues) and/or discounts (loyalty discounts, promotional discounts, etc.).

The total price is provided in the proposal, e-mailed to you as soon as your order is processed. Apart from the price, this proposal also contains the deadline and other relevant information. The proposal will be valid for a certain period of time (specified therein) and, if confirmed, shall be binding for the contractor (i.e. for Emendatus) and for the customer.

Could we calculate the scope of work based on wordage instead of character count?

Our common practice is to calculate the scope of work based on character count, yet using wordage as a basis is also acceptable. The method can be applied at the customer’s request for calculating the price of a single order or on a regular basis, provided that there is a respective cooperation agreement made with the customer.

What are the file formats I can send the source text in?

The source text may be sent in any electronic format or delivered to our office in person/by mail. If you have the opportunity, it is advised to send us the documents you want translated in editable formats. This will let the translators handle your order faster and retain the original formatting to the maximum extent possible.

In case you only have the source text in a non-editable format (PDF, JPG, etc.) at your disposal, it will be translated anyway, yet, in this case, we shall have to make some additional arrangements regarding the formatting of the target text and other possible issues.

Is it possible to retain the original formatting in the target file?

If the source file is provided in an editable format, the translation, generally, will be formatted in the same manner as the original document. Simple formatting is done by default and does not require any additional fees to be paid. This includes the use of different standard fonts, colours and other common text tools.

Formatting of moderate complexity implies that the translator working on your file shall have to perform certain basic formatting operations that do not require any advanced graphic programs or specific skills with such. These, for instance, may be some non-editable charts pasted from other applications, map legends, animated or precisely positioned text objects in presentations and any other similar components. In case these are scarce in the document, these are processed by default and no extra fees are charged; if, on the other hand, these are numerous, the formatting thereof is going to require some extra work, which may result in the price of the project being subject to the surcharge specified in the proposal/price quotation sent to you before your order is confirmed.

The same may apply to non-editable documents containing considerable amounts of text formatted using different fonts, unconventionally placed text objects, complicated tables, etc. Due to the fact that OCR software often produces the “read” versions of such documents in an incorrect manner, i.e. in a way that eliminates the chance of preserving the formatting when the text is changed, it is not uncommon for a translator working with such files to face the problem of actually having to reformat the text from scratch.

Sophisticated formatting implies that the document is impossible to reproduce in a form similar to the original without using special software, expert work and/or source materials. In this case, you may select one of the following options:

•Translation without formatting. The result of such translation is often provided as a table with the source text located on one side for reference and the target text placed respectively on the other side.

•Translation with simplified formatting. In this case, all elements are reproduced elementarily, e.g. tables are drawn without any colours or other kinds of formatting.

•Fully formatted translation. In this instance, our agency shall submit the target text for processing to a respective expert. At that, Emendatus shall disclaim any responsibility for the possible performance deadlines, incidental expenses, the scope of source materials required and the very feasibility of reproducing the formatting. The cost of the associated work on graphics and any other incidental expenses will be payable along with the cost of translation.
